Job Description
Administration and Reporting:
In coordination with facility managers, occupancy planners and other team members, provide essential office and in-field management for all Move/Add/Change (MAC) activities at BlackRock offices in New York City including:
Set up move project files, folders, and templates at start of move project, using Best Practices; maintain the folder throughout the move project
Accurately create and/or review all move project and proposal documents
Ensure the Move Playbook is in place and updated on a regular basis
Receive and process client move-related requests via email and Corrigo
Create move project related reports as required by the client
Manage move contractor/vendor work orders in Corrigo including verification and invoice payment
Ensure accurate data entry into client's CAFM system to reflect move activity
Schedule appropriate manpower for move activities, ensuring proper supervision for packing/unpacking of contents, physical movement of office contents, and modifying sequencing as needed
Keep track of move project contractor labor hours and forecast costs compared to budget
Manage move project budget, schedule and deliverables
Create and distribute move instructions to client end users, contract movers, and any other workstreams impacted.
Managing move vendors (furniture, movers, telecommunications, IT, signage, etc.) as required

Relocation Project Management:
Proactively manage Business-As-Usual (BAU) related churn moves
Coordinate scheduled events with property management, facilities management, and all parties involved in the relocation
Ensure client satisfaction throughout the relocation management process
Ensure all relocation activities are performed in a manner consistent with documented processes and in accordance with the client's and JLL's policies and procedures
Incorporate "best practices" into all project requests
Manage Corrigo work order and small project execution with installers/trades, including but not limited to furniture reconfigurations, artwork installations and space enhancements
Identify outstanding issues associated with move projects and communicate to client Hub Lead
Ensure data accuracy within move management systems
Ensure compliance with all key performance indicators and meet assigned financial targets
Schedule planning meetings on behalf of the client, RPM, Occupancy Planning and other key stakeholders and prepare all necessary meeting agendas and action items.
Ensure all move project initiation, execution and closeout documentation are complete
Comply with all JLL and client policies and procedures, including but not limited to time & expenses, ethics and business practices

Client Communication and Management:
Provide move signage, general move directions, and be present at the move site, available to answer questions and resolve post-move issues.
Understand client protocols and develop communication appropriate to the client environment
Speak in clear and concise manner when responding to client questions and follow-up with precise resolutions when reached by client representatives.
Demonstrate good listening techniques and focus on client satisfaction.
Must exhibit strong customer service orientation and interact comfortably with a full range of JLL and client-based decision makers from direct supervisors to senior management

Leadership and Teamwork:
Lead a small team (3-5) of JLL and contractor resources to achieve move project objectives
Exhibit enthusiasm and positive attitude with clients and peers
Self-identify individual skill development and proactively seek training for improvement

Skills and Knowledge:
Strong Microsoft Excel skills and CAFM experience preferred
Excellent written and verbal communication
Detail oriented
Ability to multi-task and work both in a team and independently
Must have the ability to manage multiple priorities and quickly respond to changing priorities in the field
Strong interpersonal skills with the ability to interact with executive level internal & external clients
Familiarity with architectural drawings, furniture and space planning concepts (preferred)
Physical Work Requirements and Work Conditions
Position work will primarily be at a client site in New York City with daily client and contractor interaction.
Face to face and/or remote daily interpersonal interaction is usually required to perform the job.
Required to be onsite to perform job
Weekend and evening activity may be required to support oversight of move execution and coordination activities

Preferred Education and Experience
Bachelor's degree from an accredited institution, preferred in Accounting, Business, Architecture, Engineering or Construction Management
1-3 years of facility, project or construction related experience in a Corporate Real Estate environment
Background in project management, construction/furniture management, facilities management is desirable.
Previous experience effectively supervising required service providers a plus
Preferred Certifications: CAPM, PMP, NCIDQ, LEED, CFM
