Position Summary:
We have an exciting opportunity to join our team as a Executive Secretary.

In this role, the successful candidate is responsible for office support of Nursing Administration through continued maintenance of executive secretarial functions.

Job Responsibilities:

    • Assists in maintaining contact with sections within the department of nursing and other NYULOH departments.
    • Performs other duties as assigned.
    • Secures accurate signatures and forwards documents/forms to appropriate destination based on pertinent Hospital procedure.
    • Completes information correctly and neatly. Initiates follow-up with a form as needed in order to expedite or track progress through processing system.
    • Processes incoming/outgoing documents by tallying figures and transcribing data, statistics, codes and other information for area.
    • Periodically reviews files to check whether renewals are due, copies are clear or whether additional information is necessary; initiates corrective follow-up.
    • Sets up and maintains files and complex records of departmental and program activities. Maintains records in an organized and up-to-date manner. Completes filing accurately.
    • Collects, updates and summarizes data and statistics for department. Submits data to Supervisor which is neat and well-organized. Requested and related information is accurate and complete. Utilizes appropriate sources to complete assignment. Follows guidelines/instructions given by Supervisor.
    • Properly formats responses and adheres to general guidelines given by Supervisor. Routes non-routine correspondence to Supervisor and attaches related records or information to correspondence.
    • Composes, prepares and edits general correspondence. Prepares responses which are clear, grammatically correct and meet content requirements. Completes responses and sends them out promptly.
    • Uses computers efficiently, contacts service/maintenance company for needed repairs and makes suggestions to supervisor for software/hardware enhancements.
    • Effectively completes written communications, as directed. Types materials neatly and accurately. Types and transcribes materials promptly. Proofreads edits, properly organizes and formats typewritten materials.
    • Checks vendor bills against departmental records and processes them in a timely manner. Completes unit payroll accurately and in a timely manner.
    • Assists in preparation of departmental or program budget. Complies and assembles basic information needed for budget based on past practice or Supervisor's instructions. Calculates figures correctly. Verifies and records revenues and expenses accurately.
    • Makes appointments promptly, maintains calendars up-to-date and reminds individuals of appointments as necessary.
    • Contacts appropriate individuals/organizations regarding arrangements and distributes pertinent materials when appropriate.
    • Meets specifications given by Supervisor, is attentive to details and adheres to pertinent hospital policies when scheduling. Allots sufficient time for each activity and avoids conflicts in arrangements.
    • Effectively schedules or arranges events, activities, travel arrangements and appointments.
    • Conveys correct information in accordance with Supervisor's instructions. Oversees ACS patient scheduling and reports problems to NC. Oversees ACS, OR booking procedures and reports problems to NC.
    • Makes requests to other areas, allowing them sufficient time to reply; he/she, in turn, responds quickly in order to ensure efficient coordination of activities.
    • Plans and coordinates interrelated activities effectively and efficiently according to schedule.

Additional Position Specific Responsibilities:
Assist with departmental projects and events as needed.

Minimum Qualifications:
Graduate of a business/secretarial school or equivalent combination of academic and experience background. Four (4) years of responsible secretarial experience required. Typing (60 wpm) required.

Preferred Qualifications:
Excellent PC software and communication skills required.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $48,274.09 - $58,300.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
